At a glance

• What we collect: what you send us (contact form, email, phone, booking a call), plus site-usage data from Google Analytics only if you allow it.
• What we don’t do: we do not sell or share your personal information for advertising, and we use no advertising cookies.
• Your control: analytics stay off until you click “Accept” or turn them on in Cookie Settings. We honor Global Privacy Control and Do Not Track signals.
• Confidential material: please don’t send confidential product information, CAD files, unpublished clinical data or patient information through the website. We receive those under an NDA, through a secure transfer we set up with you.

1. Who we are and what this policy covers

California Technical Media Corporation (“CTM,” “we,” “us”) is a technical visualization and animation studio based in Irvine, California. This policy explains how we collect, use and disclose personal information through californiatechnicalmedia.com (the “Site”) and when you contact us through it.

This policy does not govern information we receive while performing a client engagement. That information is handled under the engagement agreement and any non-disclosure agreement. Our litigation graphics work is presented on californiatechnicalmedia.legal, which has its own privacy policy.

2. Information we collect

Information you give us

• Contact form. Your name and email address, and optionally your company, the type of work you are interested in, and your message. The form is delivered to us by our form-processing provider, Formspree, which also records technical data such as your IP address and browser type to deliver the message and filter spam. Formspree may show a spam check on its own page before returning you to the Site.
• Scheduling a call. Our “Book a Call” and scoping-call buttons open a Google Calendar booking page hosted by Google. When you book, Google collects the name, email address and any notes you enter and shares them with us so we can hold the meeting. Google’s own privacy policy applies to that page.
• Email and phone. Whatever you choose to include when you write or call us.

Information collected automatically

• Server logs. Our hosting provider automatically records technical data for each request, such as IP address, browser type, the page requested, the referring page and the time. We use these logs for security and to operate the Site.
• Analytics (only with your consent). If you allow analytics, Google Analytics collects information such as pages viewed, time on page, how far you scroll, clicks on links to other sites, file downloads, whether a form was started or submitted (not what you type in it), referring site, device and browser type, and approximate location (city or region). Google Analytics 4 does not log or store IP addresses. We use the standard Google Analytics 4 service with Google signals and advertising features turned off, and it is not linked to any advertising account, so this data is not used to personalize ads.
• Fonts. The Site’s typefaces are loaded from Google Fonts. To deliver them, Google’s servers receive your IP address and browser information. Google Fonts does not set cookies.
• Videos. Videos are hosted on Vimeo and load only when you click play. They play in Vimeo’s “do not track” mode, and until you click, nothing is sent to Vimeo.

We do not knowingly collect sensitive personal information through the Site, and we ask that you not send it.

3. Cookies and similar technologies

Cookies are small files a website stores in your browser. We group them as follows. Non-essential cookies are not set until you choose to allow them. You can change your choice at any time with the Cookie Settings link in the footer of every page.

We do not use advertising, retargeting or social media tracking pixels. Links to our Instagram, Vimeo and LinkedIn pages are ordinary links and do not load those services’ code on the Site.

If you turn analytics off after allowing them, we delete the analytics cookies stored on our domain. Cookies stored on Google’s own domains can be removed in your browser settings. Google also offers a browser add-on to opt out of Google Analytics on all sites.

4. How we use information

• To respond to inquiries, schedule and hold calls, prepare proposals, and perform and bill for projects.
• To understand how the Site is used and improve its content and design. We use analytics only in aggregate or to diagnose usability problems.
• To keep the Site secure and prevent spam, fraud and abuse.
• To keep business records and to comply with legal obligations and legal process.
• To send you occasional professional updates, but only if you ask to receive them. You can opt out at any time.

We do not use automated decision-making that produces legal or similarly significant effects.

5. How we disclose information

We do not sell personal information, and we do not “share” it for cross-context behavioral advertising (as those terms are used in California law). We disclose personal information only:

• To service providers that process it for us under contract, for the purposes above: website hosting (GoDaddy), email and calendar (Google Workspace), contact-form delivery (Formspree), fonts (Google Fonts), analytics (Google Analytics, only with your consent), and video hosting (Vimeo).
• For legal reasons. We disclose information when we believe it is required by law, subpoena or court order, or needed to protect our rights, our clients, or the safety of others.
• In a business transfer, such as a merger or sale of assets, subject to this policy.
• With your direction or consent.

6. Your choices, Do Not Track and Global Privacy Control

• Cookie choices. Use “Reject non-essential,” “Accept all” or “Settings” in the banner, or Cookie Settings at any time.
• Global Privacy Control (GPC) and Do Not Track (DNT). If your browser sends a GPC or DNT signal, we treat it as a request to opt out. Analytics stay off for that browser, and we do not show you the banner. You can still opt in through Cookie Settings.
• Email. You can unsubscribe from any update we send, or ask us to stop contacting you.

7. Confidential client and product information

Our clients often share unreleased product designs, CAD models, engineering drawings, regulatory material and clinical information. We treat project information as confidential and do not disclose it, or the identity of clients who have asked us not to, without the client’s authorization, except as required by law.

The contact form and ordinary email are not secure channels for confidential material. Please send only a brief, non-confidential description of your project, and never send patient health information. Once an engagement or NDA is in place, we will set up a secure transfer method. Sending us information before an NDA or engagement does not create a duty of confidentiality beyond what this policy describes.

8. How long we keep information

• Inquiries (form submissions, emails, booking details): for as long as needed to respond and follow up, and after that for our business records, typically up to three years after the last contact unless a project follows.
• Project records: as required by the engagement agreement, any NDA and applicable law.
• Google Analytics user-level data: no longer than 14 months. Aggregate reports may be kept longer.
• Server logs: as kept by our hosting provider for security and operations.

9. Security

We use reasonable administrative, technical and physical safeguards appropriate to the information we handle. The Site uses encrypted HTTPS connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. California and other U.S. state privacy rights

Depending on where you live and whether a given law applies to us, you may have the right to:

• know what personal information we have collected about you, and receive a copy;
• correct inaccurate personal information;
• delete personal information, subject to legal exceptions (for example, records we must keep);
• opt out of the sale or sharing of personal information and targeted advertising. We do neither.

We honor these requests from any visitor, whether or not a specific statute applies. To make a request, email hello@californiatechnicalmedia.com with the subject “Privacy request,” or call (949) 550-1100. We will verify your request by matching the information you give us against what we hold, and respond within 45 days. You may use an authorized agent, and we will ask for proof of the agent’s authority. We will not treat you differently for exercising these rights.

Categories, in summary. In the last 12 months we have collected identifiers (name, email, phone, IP address), professional information (company, role, area of interest), the content of your messages, and, with consent, internet activity on the Site. These come from you, your browser, and our service providers. We use them for the purposes in Section 4, and we disclose them only to the recipients in Section 5.

California “Shine the Light.” We do not disclose personal information to third parties for their own direct marketing purposes.

11. Children

The Site is intended for business and technical professionals. It is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has sent us information, contact us and we will delete it.

12. Visitors outside the United States

We are based in the United States, and the Site and our service providers process information in the United States. If you contact us from another country, your information will be transferred to and processed in the U.S. Where local law gives you additional rights, such as the right to access or erase your data or to withdraw consent, contact us and we will honor them as required.

13. Links to other sites

The Site links to services we do not control, such as Google Calendar, Instagram, LinkedIn and Vimeo. Their own privacy policies govern what they collect.

14. Changes to this policy

We may update this policy. We will post the new version here with a new “last updated” date. If the change affects how cookies are used, we will ask for your cookie choices again.
